Child safeguarding

Our starting point

A child's welfare always comes before the programme, the photo, the result or the schedule. When in doubt, we decide in the child's favour — even if that means stopping an activity or making an uncomfortable call.

No one-on-one contact

Adults from our team and volunteers are never alone with a child, out of sight of others. In practice that means:

• activities with children are run by at least two adults;
• conversations with a child happen in the open, within sight of others;
• volunteers do not transport children and do not arrange contact with children outside events;
• if a child needs help (toilet, changing, an injury), a parent or guardian is called, and until then two adults remain present.

Volunteers and the team

Every volunteer is briefed on this policy before the event: what is allowed, what is not, and who to report concerns to. Volunteers are visibly identified at the event, so children and parents know who is part of the team. Tasks involving work with children go only to volunteers who have been briefed.

Photographing children

We publish a photo or video in which a child is identifiable only with prior consent from a parent or guardian, given at registration or separately. Without consent, the child must not be identifiable in the material. We never publish a child's name or details that could locate them alongside photos. A parent can withdraw consent at any time and we remove the photo, no questions asked.

Safeguarding lead

For every event we name a safeguarding lead: [[PLACEHOLDER: safeguarding lead name]]. They are visibly identified and reachable at the event, and their name is published on the event page. Every concern and report goes to them first.

How to report a concern

If you see or hear something that worries you — an adult's behaviour towards a child, a child who seems frightened or neglected, anything — report it straight away:

• at the event: to the safeguarding lead or any identified team member;

• if a child is in immediate danger, call the police or emergency services first, then us.

What happens after a report

We take every report seriously and act without delay: we record it, protect the child from further contact with the person concerned and, where circumstances require, notify the competent centre for social work or the police. Reports are kept confidential — we do not reveal the reporter's identity to the person the report concerns. No one will face consequences for a good-faith report that turns out to be unfounded.

Reviewing this policy

We review this policy after every major event and at least once a year, and update it with what we have learned.
